Plenty of companies still run HCL Domino for good reasons: stable applications, local control and years of working processes. Yet their people use phones and meet partners who live in Outlook or Google. Keeping HCL Domino calendars in step with Outlook and Gmail is the part most teams skip. The usual answer is two calendars, and the usual result is missed meetings.

In short

  • Sync Domino calendars, contacts and tasks with Exchange Server, Microsoft 365 or Gmail.
  • Domino stays on your server, and you choose the direction, so Domino can remain the master.
  • AddSync does not migrate Domino mail files or applications. It keeps people in step while you decide.

The usual compromise

Staff keep two calendars and update both. It is slow, and mistakes cost meetings. Partners and customers send invitations from Outlook or Gmail, a system you cannot answer from. Without a bridge, every migration plan begins with a large risk, so it waits.

A better way

AddSync synchronises Domino calendars, contacts and tasks with the systems your partners use. Domino stays where it is. You choose the direction of the sync for each source, so Domino can remain the master for as long as you want.

Planning points

  • List the groups who need a second calendar, such as people who work with outside partners.
  • Decide whether data flows one way or both.
  • Check how recurring events and invitations should behave, and test them.
  • Run a pilot with one department before you add everyone.
  • Decide who is the contact when something looks wrong.

Choosing the direction

Direction When it fits
Domino to Outlook or Gmail Domino stays the master and partners need to see availability.
Outlook or Gmail to Domino People accept invitations in Outlook or Gmail, and Domino users need them.
Both ways People work in both systems and each side creates meetings.

You set the direction for every source, so different groups can use different settings.

Example: partner invitations

Example, not a real customer. A sales director works in Domino. A large partner sends invitations from Outlook. Without a bridge, she has to accept in a system she does not use and copy the meeting by hand. With the sync, the invitation shows in her Domino calendar and on her phone, and the partner sees her availability.

What about phones?

Many Domino users read their calendar on a phone through Outlook or Google apps. When Domino calendars sync with Exchange, Microsoft 365 or Gmail, the same meetings appear in those calendars, and so on the phone. Nobody has to configure a second account on the device.

Choose the direction so that new meetings created on the phone reach Domino when that matters to your teams, and test it with a few users first.

If a migration is planned

The same sync helps during a move away from Domino, because users can already work in the new system while the old one is in use. You move mail and applications on your own schedule, and retire the sync when the last user has moved. For mail and application migration use a migration partner. See Domino to Outlook, without the big bang.

And AI on mail

Built-in AI tools usually do not cover Domino. AddSync AI works with HCL Domino, Exchange Server, Microsoft 365 and Gmail, with the same filters and the same journal on every system. You can start with AI first, migration later, or both. Read about AI for HCL Domino.
