A meeting is not much use if half of the invitees cannot find the link. Zoom links in every calendar solve that. In companies with more than one calendar system, that happens every day: the Zoom link sits in an Outlook invitation, and colleagues in Google Calendar or HCL Domino ask for it in chat while the call starts without them.

In short

  • A Zoom link added in Outlook, or a meeting created in Zoom, appears in all calendars synced by AddSync.
  • It works in either direction, so colleagues join from the entry they already have.
  • Hosting a meeting needs Zoom access, so check your setup before the rollout.

The problem with links in invitations

Without sync

  • The link sits only in the invitation.
  • Colleagues in other systems ask for it in chat.
  • People join late while they search.

With AddSync Calendar

  • The link sits in every calendar entry.
  • Everybody opens their own calendar.
  • You choose the direction for each source.

How the link travels

There are two starting points, and both end in the same place.

Outlook or ZoomLink added in Outlook,or meeting created in ZoommeetingAddSync CalendarCarries the linklinkEvery calendarExchange, Microsoft 365,Google, DominoOutlook or ZoomLink added in Outlook,or meeting created in ZoommeetingAddSync CalendarCarries the linklinkEvery calendarExchange, Microsoft 365,Google, Domino
The meeting link reaches every synced calendar, whichever side it was created on.

Set it up in four steps

  1. Connect ZoomConnect your Zoom account to AddSync.
  2. Connect calendarsExchange Server, Microsoft 365, Google or others.
  3. Create the meetingIn Outlook or in Zoom.
  4. Check it shows everywhereOpen the entry in each synced calendar and click the link.

Which systems carry the link

System Link travels
Exchange Server Yes
Microsoft 365 and Outlook.com Yes
Google Calendar Yes
Apple Calendar (iCloud) Yes
HCL Domino Yes
WebDAV and CalDAV Yes

Ask us about your exact combination before you roll it out.

What to check before the rollout

  • Which calendars are synced, and in which direction.
  • Who hosts meetings, and whether those people have Zoom access.
  • Colleagues in other systems: ask a few of them to join from their own calendar entry.
  • Recurring meetings: create one and look at the second and third occurrence.

Colleagues in other systems do not need Outlook to join, because the link sits in their own calendar entry.

Example: one client call, three systems

Example, not a real customer. Emma in Exchange adds a Zoom link to a client call. Olivia works in Google Calendar and Liam in HCL Domino. Both open the link from their own calendar entry. Nobody asks for it in chat, and nobody joins late because they were searching.

If a link does not appear

  1. Check the directionMake sure the source that created the meeting syncs towards the other calendars.
  2. Check the accountConfirm that Zoom is connected and the person has access.
  3. Look at the entryOpen the meeting in the other calendar and look at the location and notes.
  4. Test againCreate a new meeting and compare it with the old one.

One sync for the rest too

The same sync that carries Zoom links also keeps meetings, contacts and tasks in step across Exchange Server, Microsoft 365, Google, Outlook.com, Apple Calendar, HCL Domino and CalDAV. See AddSync Calendar for Zoom and the AI for Zoom page.

Can I choose the sync direction?
