Data filter: choose what your AI can see
Your AI answers from company mail. The data filter decides which mail it receives. What you hide never reaches it.
You write the rules once, for the whole company. They work before the AI reads anything, so a mistake in a question cannot open a folder you closed.
Four ways to filter
Use one or combine them. Each rule hides mail from the AI. Your people still see everything in Outlook as before.
Folders and categories
Close the folders and categories that are not for the AI, such as HR, payroll or the board. The AI does not search them and does not open them.
Senders and domains
Hide mail from a lawyer, an auditor or a partner you promised to keep apart. You add an address or a whole domain, and the rule covers every mailbox.
Keywords and patterns
Hide mail that contains words such as "confidential", or patterns such as card numbers and bank accounts. The AI never receives those messages.
Age and attachments
Limit the AI to the last months of mail, and decide whether it may read attachments at all. Old archives and files stay out of reach.
One rule for the whole company
You set the filter once. It applies to every mailbox that uses AI.
Your administrator keeps the rules in one place. A new person who gets AI starts with the same limits as everyone else, and you do not need to repeat the setup mailbox by mailbox.
The filter works together with the guard. The guard decides who may ask. The filter decides what the AI may read. See the overview.
Example: the same question, with and without a filter
Liam asks his AI: "What did we agree with the client about the price?"
Questions about the data filter
Does the filter hide mail from my people?
No. The filter limits only what the AI receives. Your people see their mail in Outlook as before.
Can each person set their own filter?
No. You set one rule for the whole company, so every mailbox has the same limits.
What is the difference between the guard and the data filter?
The guard decides who may use AI and how much one question may read. The data filter decides which mail the AI may read.
Can I change the rules later?
Yes. You change them in one place, and they apply to every mailbox that uses AI.
Set your first filter in the pilot
In 14 days you connect a few mailboxes, close the folders you do not want the AI to read and check the result in the journal.
