Can AI read my email? Admins hear this question in two forms. From staff: “Can I ask AI about my mail?” From management: “Can AI read our mail?” The answer to both is the same: it depends on how the AI is connected, and that is a decision you can make on purpose.

In short

  • A chatbot on its own cannot read your mail. It sees only what is pasted into it.
  • A connected assistant can read what its connection allows, so the connection matters.
  • Ask what the AI can reach, what is filtered, what is stored and what is recorded.

Three ways an AI can see mail

Setup What the AI sees Who controls it
Chatbot, nothing connected Only what a person pastes in. The person, with no record.
Assistant built into the mail platform What the platform exposes to it. The platform vendor and your admin settings.
Managed connection What the tools and filters allow. IT, through a guard, a filter and a journal.

What the AI can read depends on the rules between it and the mailbox.

The risky one is the first

It looks harmless, because nothing is connected. In practice it is where mail leaves the company with no filter and no record. See Shadow AI at work for how to deal with it.

What AddSync AI can see

AddSync AI reads mail only through four tools: search, show, save a draft and propose. Each question reads a limited number of messages, and only those that pass the company’s data filters. The AI reads a message to answer your question and does not store it. The journal records who used which tool and when, without the text of the mail.

Four scenarios

Scenario Can the AI read it?
A person pastes a thread into a chatbot Yes, that thread, with no filter and no record.
A question about a closed HR folder through AddSync AI No. The filter keeps it away, and the journal shows the attempt.
A question about last week’s customer thread Yes, if the thread passes the filters.
A request to send a reply No. The AI can save a draft, and the person presses Send.

How to explain it to management

Three sentences work well. The AI reads mail only through four tools. IT decides which mail is closed to it, once, for the whole company. Every use is recorded without the text of the mail. If management wants more detail, show the journal from a pilot.

Questions to ask any vendor

  • Which mailboxes can the AI reach, and who decides?
  • Can I exclude folders, senders and keywords?
  • Does the vendor store the text it reads?
  • Is there a record of who asked what?
  • Can I switch it off for one person, a group or everyone?

A one-page staff policy

  • The AI works with your own mailbox, within the company’s filters.
  • Closed folders are not available to the AI, and you can still read them yourself.
  • The AI saves drafts. You read them and press Send.
  • Do not paste mail into other AI tools. Use the approved route.
  • Questions go to IT, with a named contact.

What to tell staff

Say plainly what the AI can and cannot do, and what it is for. People accept limits they understand. Mention that the filter hides closed folders from the AI but not from them, and that drafts wait for their own Send.

Questions and answers

Can ChatGPT or Claude read my email by themselves?

No. They see only what you paste in, unless something connects them to your mail.

Can the AI read other people's mail?

With AddSync AI the assistant works with the mailbox of the person who asks, within the company’s filters.

Does AddSync store my mail?

No. The AI reads a message to answer and does not store it. The journal holds no mail text.

Can it send mail as me?

No. It can save a draft. You press Send.
