Good meeting preparation takes ten minutes that nobody has. An assistant that can see your own mail and calendar can do most of it for you. Here are seven AI prompts for meetings that you can copy, with notes on why each one works.
- The prompts only work well when the assistant can reach your own mail and calendar.
- Name the person or project, set a length and ask for the source mail.
- The assistant suggests and saves drafts. You decide, and you press Send yourself.
Before you start
These prompts assume the assistant is connected to your mailbox and calendar through a controlled connection such as Mail AI. In a plain chatbot with no access to your mail, the answers will be guesses. Use them as written, then change names and dates.
The morning prompts
The first prompt sets priorities before you open a single message. The second and third replace the ten minutes you would spend scrolling through old threads. Naming the person keeps the answer short and the sources easy to check.
The prompts for the meeting itself
Prompt 4 is the most useful one for recurring meetings, because the open questions are usually spread over several threads. Prompt 5 saves the embarrassing moment of discovering a clash five minutes before the call.
The prompt for afterwards
Paste your own notes into the request if you have them. The assistant saves a draft follow-up in your Drafts folder. You read it, change it and press Send yourself.
Make the answers better
Weak request
- “Summarise my mail.”
- “What happened with the project?”
- No length, no names, no source.
Strong request
- Name the person, project or date range.
- Say how long the answer should be.
- Ask for the source mail so you can check it.
Build your own prompts
Every good prompt answers four questions. Once you know them, you can write new prompts in seconds.
| Part | What to say | Example |
|---|---|---|
| Who or what | Name the person, project or customer. | “the Carter contract” |
| When | Give a period. | “in the last two weeks” |
| What you want | State the output. | “open questions and owners” |
| Size and proof | Set a length and ask for the source. | “five lines, with the source message” |
Put them together: Summarise the Carter contract thread from the last two weeks. List open questions and owners in five lines, and name the source message.
A morning in practice
Example, not a real customer. Emma has three meetings tomorrow. In the evening she asks which one needs the most preparation. The assistant points to the supplier review, because the thread has open questions and a deadline. She asks for the open questions and a short agenda. It takes two minutes, and she saves a draft reply to the supplier that she reads and sends in the morning herself.
The assistant did not send anything. It searched, showed, saved a draft and proposed. The decisions stayed with Emma.
Keep control
A good assistant suggests and you decide. In AddSync AI the assistant can search, show a message, save a draft and propose a time or a reply. It cannot send, delete or move mail. A draft waits in your Drafts folder until you read it and press Send. The page on whether the AI can send email explains why it was built this way.
Questions and answers
Do these prompts work with ChatGPT and Claude?
Yes, as long as the assistant can reach your own mail and calendar. Without that connection it cannot answer questions about your messages.
Will the assistant see other people's mail?
No. It works with the mailbox of the person who asks, and company data filters can hide folders, senders and keywords from it.
What if the answer is wrong?
Ask for the source message and check it. Treat the assistant like a fast colleague, not like a final authority.
Can I save these prompts?
Yes. Keep them in a note or a team page and adjust the names. Teams often agree on three or four standard prompts.
Try the prompts on your own mail
Run them for two weeks in a pilot and see how much preparation time they save.
