Many people already use Claude for writing and analysis, and want to use Claude with Exchange Server too. Then they ask it a question about their own mailbox and discover the gap: Claude cannot see an on-premises Exchange server, and the common workaround is to paste mail into a chat window. This article describes a way to close the gap that IT can control.

In short

  • Out of the box, Claude has no access to mail on your Exchange server.
  • Pasting mail into a chat window moves data with no filter, no record and no off switch.
  • AddSync AI gives Claude four limited tools through MCP, under filters, a guard and a journal.

Why Claude cannot answer questions about your mail

An assistant can only answer from what it can reach. A mailbox on your own server is not reachable from the internet, and it should not be. So Claude, however capable, starts every conversation without knowing what your customer wrote yesterday.

The workaround

  • Copy a thread, paste it into the chat.
  • No filter on what leaves the mailbox.
  • No record of what was shared.
  • IT cannot switch it off.

A managed connection

  • Claude asks through four tools.
  • Data filters close folders and senders.
  • A journal records who used which tool.
  • IT switches AI off per person or for everyone.

How AddSync connects Claude to Exchange

AddSync sits between Claude and Exchange. It offers Claude a short list of tools through the MCP standard and applies your rules before any tool runs. Exchange stays on your server. AddSync reaches it there and does not move it.

Claude uses four tools. AddSync applies the rules and reaches Exchange on your behalf.

The four tools

TOOL 1

Search

Finds mail and meetings by words, people and dates. It returns a short list, not the whole mailbox.

TOOL 2

Show

Opens one message or meeting so Claude can read it and answer. It reads it for that answer and does not store it.

TOOL 3

Save a draft

Writes a reply and saves it as a draft in your own mailbox. You read it and press Send yourself.

TOOL 4

Propose

Suggests a reply or a free time. A proposal changes nothing until you approve it.

Send, delete and move do not exist. It is a design choice: when the AI cannot send, a misread question cannot go out to a client.

Questions people ask Claude

FindFind the offer we sent to Carter in September.
SummariseSummarise the supplier thread and list open questions.
PlanWhich meetings do I have tomorrow, and what was said last time?
DraftDraft a reply that confirms the date.

Each request becomes a call to one of the four tools. The assistant can search, show, save a draft and propose. You do the sending.

What to ask your Exchange team

  • Which Exchange version runs, and who maintains it.
  • Which user will hold the mailbox permissions, and who owns that account.
  • Which mailboxes are in the pilot.
  • Who reads the journal each week.

Where the text goes

Be clear about this with your management. With option A, the messages Claude reads to answer a question go to Claude under your own account and terms. With option B, people use the AddSync chat window and the model runs in an EU region. Decide which fits your policy, and write the decision down.

Data filters apply before Claude receives anything. Mail you closed, such as HR or board folders, never reaches the assistant.

Start in a way you can reverse

  1. Pick five to ten peopleChoose people who work with mail all day.
  2. Set filters firstClose folders, senders and keywords you do not want the AI to read.
  3. Connect a few mailboxesUse a controlled Exchange user instead of staff passwords.
  4. Review the journalAfter a few days, look at which tools ran and adjust.

Questions and answers

Does Claude read my whole mailbox?

No. It uses a short list of tools, and each question reads only a limited number of messages that pass your filters.

Can Claude send mail from my account?

No. It can save a draft. You open it, read it and press Send yourself.

Do I need my own Claude account?

With option A, yes. With option B, people use the AddSync chat window instead.

Which Exchange versions are supported?

Exchange Server 2016, 2019 and Subscription Edition.
